AV Portal
Overview
The AV Portal (https://av-portal.uibk.ac.at/) is a tool for uploading and sharing videos. It is a supplement to Opencast (https://av-admin.uibk.ac.at), the software for centralised processing and archiving of video recordings at the University of Innsbruck. With the AV Portal you can now edit videos directly, upload them to the Opencast archive and share them with others via a link.
Upload
You can upload videos to your central archive on Opencast (av-admin.uibk.ac.at) via the AV Portal. You can then add the videos to one of your OpenOlat courses, for example in OpenOlat via the course element Recordings.
Edit
Through the AV Portal you can access the Opencast Editor for your uploaded videos. Opencast Editor is a modern video editor with basic functions for cutting, merging and editing metadata and thumbnail. External software is only necessary for more complex or specialised editing.
Release
Uploaded videos can be shared with individuals via a generated link or made publicly accessible on the AV portal.
Update to v3.8 (September 2025):
- Owners can keyword filter “My Videos” and “My Series" lists to better search their content.
- Viewers can download caption files (.vtt) alongside videos, improving accessibility for users who rely on subtitles.
- Global search looks at subtitles and shows a mini-timeline of where the text is spoken in the search results.
Update to v3.6 (August 2025):
- Series creation and editingnow possible from AV-Portal 'My Series' list
- Users can now set the access policy of their own video using AV-Portal
- A formatting guide with live preview added to the text block editor to help users who are entering text in text blocks.
Instructions
Main menu
The AV Portal menu contains the following categories:
- Vorträge: In here you will find recordings of university lectures.
- Fakultäten: The pages correspond to the faculties of the university. Videos can be added to these pages on request by the corresponding facultie or institutes.
Search
All users can search the contents of the AV Portal for video titles, authors, description texts or page names. However, only videos that have been made public and added to a page on AV Portal are searchable in the search bar.
The following videos are displayed under My videos:
- videos that you have uploaded to the AV Portal,
- your recordings from your BigBlueButton web conferences,
- your recordings from lecture halls,
- your recordings from Opencast Studio,
- publicly accessible videos.
Instructions
- Click on your name in the top right-hand corner (log in if necessary).
- Click on My videos in the drop-down menu.
- Click on the video you want to view.
- Here you can:
- watch the video: click the play button.
- open the video editor (only for your own videos)
- copy the direct link
- view video details: view date of creation, titel, description, referencing pages
- view technical details: view different video/audio tracks and Opencast ID.
What is a video series?
A series is a set of related videos in a single collection. Each video can have one (and only one) series associated with it. In the AV-Portal, a series can be displayed via a web page link. Such web pages do not appear in the AV Portal menu and can only be found via the keyword search, via a shared URL or via a video contained therein.
A series label is also only publicly searchable if at least one of the videos it contains is publicly accessible, or the series itself has been made publicly accessible. A given series can be searchable and playable to either (1) Everyone, (2) Only logged-in AV Portal and OLAT users, or (3) Only logged-in OLAT users depending on the access policy the owner has applied.
Series can be created automatically from:
- recordings from the lecture theatre with the title of the course.
- recordings from the virtual classroom in OpenOlat.
- recordings from BigBlueButton web conference rooms.
Series created automatically are playable in OLAT by default. If you want to create a manual series, follow the steps provided below.
Editing an existing video series
You can view all the series items that you have write access to in the "My Series" section of the AV Portal website. To edit an existing series, either it's title, description or listed video content, proceed as follows:
- Click on your name in the top right-hand corner (log in if necessary).
- Click on My series in the drop-down menu.
- Click on the series you want to edit.
- Edit the text fields or use the Add video, Remove or Upload video options as needed.
- Click Save changes when you are finished.
A video can only exist in one series at a time. For a video appear as a candidate in the 'Add video' search field, it must not already be attached to a series.
Creating a new series manually
You can create your own series with a title of your choice in the AV Portal.
- Click on your name in the top right-hand corner (log in if necessary).
- Click on Create series in the drop-down menu.
- Enter a title (required) and an optional description.
- Select an appropriate read access policy for your series.
Note: As a safe default, AV-Portal & OLAT logged-in users (Read) is a sensible choice for most uses. The Write access option should not be used unless specifically guided by DMLT staff. - Set any username-based access policies that are required.
- Click Create
- From the next page that appears, you can add your series videos to the series list as-per the series editing guidance above.
Videos within a series inherit the access policy of their parent series. The series policy is additive to the child video's policy, e.g. it is layered on top of the video's own access policy.
Sharing a series via URL
A series can be shared via its URL link. To obtain the link, proceed as follows:
- Click on your name in the top right-hand corner (log in if necessary).
- Click on My series in the drop-down menu.
- Click the Share button to reveal the share link information
The series access policy is stacked on-top of the video's own access policy. Therefore, when sharing a series via URL that itself is granted an Everyone access policy, all contained videos will be publicly shared also.
Embedding a series in another page
A series is always displayed on a single, self-contained web page. However, it is possible to embed series in pages of the main navigation. This offers the advantage that the series can be found not only via the search, the URL link or via a video contained therein, but also via the navigation. A series can thus be displayed in the AV Portal on an institute page, for example.
If you want to add a series to a faculty page, please contact av-studio@uibk.ac.at with the following information:
- Name and URL link of the series
- Title and description for embedding
- Institute page in which the series is to be embedded
- Any authorisation from the institute management
Videos added to a series will automatically appear on every page where the series is embedded.
Videos can only be uploaded by University Innsbruck employees.
Videos that you upload to AV Portal are also automatically available in Opencast and OpenOlat via the course element Recording, as the same media archive is used for these systems. If you release an uploaded video to the public, all course instructors can include this video in their OpenOlat course.
Preparing Video for AV Portal
Videos from older streaming services may need to be prepared before upload. We recommend downloading and installing Handbrake (https://handbrake.fr) . Once Handbrake is installed, proceed with the following:
- Open the Handbrake application
- Drag the file into Handbrake
- Do not check “Web Optimized”
- Keep other settings at default
- Start transcoding and save
Note: Unprepared video may still upload and process correctly, but some features like thumbnail generation may not work as expected.
Instructions
- Click on your name at the top right (log in if necessary).
- Click on Upload video in the drop-down menu.
- Click on Select file.
- Select a file from your device and click on Open. The video will now be uploaded.
- Give the video a Title and a Description.
- If desired, assign the video to an existing Series . (more information under Video series)
- Set the Access policy.
- Note: By default, your video is published worldwide. If you do not want this, click on the X next to the Group Everyone to remove public access.
- Group Everyone: the video is publicly accessible worldwide.
- Group Logged in users: only logged in employees of the university have access to the video.
- Authorised users: only certain persons have access to the video (the person must log in to the AV portal once in order to be found via the search).
- Click on Save and finish.
As soon as the video has been uploaded, it is visible in Opencast and is automatically processed there. This may take some time. After processing, the video will appear in the AV Portal under My Videos.
Videos can be edited using either av-admin or the av-portal tool. Help on the procedure using av-admin is available under the Opencast help section.
How to edit a video recording in av-portal
To edit a video recording:
- Click on a video in your video list and click 'technical details' from the side navigation
- Click 'Open in video editor'
The video editor will then open. - Follow the instructions from point 2 onwards, in the 'Edit videos' section on the Opencast help page.
Users can set thumbnails using the editor tool (see above, available in both av-admin and av-portal) or via an attachments upload on the details page of any given video on av-admin. Adding thumbnails via the editor is generally preferred, however the mandatory reprocessing of the video results in the video becoming unavailable whilst the processing is taking place. Adding a thumbnail via av-admin is preferred when a quick thumbnail change is needed without editing.
To upload a thumbnail using av-admin:
- Click the folder icon on the actions icons menu of the recording in your listing
- Click Add asset
- Click Choose file and select the image file you wish to use
- Click Add Asset
Note: Using the editor after a thumbnail has been added via the av-admin attachments upload will overwrite that original thumbnail. Thumbnails added via attachments upload need to rre-addedafter the editor is used to process the recording.
What is the common terminology used when describing listing and access?
Specific terms referred in support documentation are as follows:
- Referencing pages are the pages where the video is placed. This can be either a standalone video or as part of a series.
- Searchability & Playability. Searchability refers to whether a video is searchable in the AV-Portal search bar by the general public. Videos that are reachable from the site's homepage navigation are automatically searchable. Playability refers to whether a video is playable from a direct link.
Note: all searchable videos are playable. Some playable videos are not searchable. - The listed/unlisted status concerns whether a video is referenced in at least one page. A video with no referenced pages is by definition unlisted. Note: this does not determine public searchability.
- The access policy concerns the scope of access to a video; essentially, it sets who can play it.
Note: this determines public playability.
Note: These terms apply exclusively to the AV-Portal. In OpenOLAT, any video or series that has been authorised for public playback via the AV portal will automatically appear on the Public tab when searching in the video block search during course editing. This display is deliberate in order to promote the exchange and sharing of teaching materials.
How can I see where my video or series used on an AV Portal page?
You can learn if your video has been placed on a page by following these steps:
- Log in to AV-Portal, click on your name from the top-right corner, and click My Videos orMy Series
- Locate the video you wish to learn about in your video list and click the title to view the Video details page.
- View the Referencing pages section at the page bottom.
Any pages that contain the current video will appear here.
How can I view and edit the access policy of my existing videos and series?
Videos added to the Opencast media archive from lecture or meeting recordings are not publicly shared by default. Using the AV Portal, it is possible to update the access rights of a video.
To make an existing video viewable to others, follow these steps:
- Log in to AV -Portal, click on your name from the top-right corner and click My Videos or My Series
- Locate the video you wish to change in your list of videos and click the title to view the Video details or Series details page.
- Click the Access rights tab from the left navigation bar.
Select an appropriate access policy for your video or series:
Everyone (Read): The series can be searched and displayed from OLAT by any logged-in OLAT lecturer. Anyone can share and view the video publicly via the AV-Portal share link.
AV-Portal & OLAT logged-in users (Read): The series can be added in to OLAT, for playback by OLAT students, by the owner(s). If placed on a public page in the AV-Portal, the series can only be played by users logged in to the AV-Portal.
Note: As a safe default, AV-Portal & OLAT logged-in users (Read) is a sensible choice for most uses. The Write access option should not be used unless specifically guided by DMLT staff.OLAT logged-in users (Read): The series can be added in to OLAT, for playback by OLAT students, by the owner(s). If placed on a public page in the AV-Portal, the series can only be played by the owner(s).
- Click Save
When making a video public, you take full responsibility for the legality of the content. To understand your obligations, see the terms and conditions at the bottom of this page.
Note: The default "Everyone" access action is "Read", which should always be used. The alternative access action "Read-Write" should be avoided. It is also possible to specifically grant other AV-Portal users access to your videos so they may use them in their OLAT course without having to make the videos public.
To make an existing video or series viewable only to select users, follow these steps:
- Log in to AV-Portal, click on your name from the top-right corner and click either My Videos or My Series.
- Locate the video or series you wish to change in your list and click the title to view the Video details or Series details page
- Click the Access rights tab from the left navigation bar.
- Using the Authorized User input box, type the user's name. You will be able to select the user if they exist on the system. By default, the user is granted Read actions. For the named user to be able to edit and delete the video, or add to an OLAT course, the granting of Read and Write permissions is required.
- Click Save
Selecting Read and Write actions will grant the named user co-ownership over your video. This should only be if you intend to grant that user exploitation rights to the video, including the ability to edit and delete it.
Note: A user can only exist in the system after logging in to the AV Portal at least once. Assigning "Read" and "Write" permissions grants the selected user co-ownership rights to your video. This includes the right to edit and delete the video. These permissions should only be granted if you explicitly want to grant the user the corresponding usage rights.
Here you can find out about the various options for sharing a video with other people via the AV Portal. Please ensure that the shared content complies with Copyright guidelines of the university.
Making videos publicly accessible
- You can only make your own videos publicly accessible.
- Recordings from web conferences cannot be made publicly accessible.
- Publicly accessible means that anyone can view, download and link to this video, without having to log into AV Portal.
- You can see how to upload a video and set the access rights under the Upload videos tab.
Share video link
- Click on your name at the top right (log in if necessary).
- Click on My videos in the drop-down menu.
- Click on the video you want to share.
- Copy the link under Share via direct link.
- Send the link to the desired person(s).
Share video via embed code
- Click on your name at the top right or on Login if you are not yet logged in.
- Click on My videos in the drop-down menu.
- Click on the video you want to share.
- On the "Video details" page, click on the thumbnail of the video to display the full view page of the video.
- On the full view page of the video, click the Share button and then click the Embed tab.
- Copy the embed code and paste it where you want to share it.
Embed video in UniCMS
- After making a video publicly available in the AV Portal, you can use the video ID to embed the video in UniCMS.
- Follow the UniCMS guide at: https://www.uibk.ac.at/de/public-relations/webservices/unicms-guide/plug-ins/video/
- For AV Portal videos, select 'AV Portal' from the dropdown menu.
- For the video ID, use the code at the end of the shared link, e.g. you would use 'MqVMh200ov9' for the shared link https://av-portal.uibk.ac.at/v/MqVMh200ov9 .
IMPORTANT: To allow external users to view videos on the AV-Portal without logging in, the shared video must be uploaded as publicly viewable, with access rights to everyone.
Through the AV Portal you can access Opencast Studio to record a video from your dispaly and/or your camera.
- Click on your name at the top right (log in if necessary).
- Click on Record video in the drop-down menu. Opencast Studio will open.
- Follow the instructions for Opencast Studio.
You can download your own videos as well as publicly accessible videos.
- Click on your name at the top right (log in if necessary).
- Click on My videos in the drop-down menu.
- Click on the video you want to download.
- Click on the small video image on the left.
- Click on the play button to start the video.
- Right-click on the video and click on Save video as... in the options displayed. .
- Select a storage location and click on Save. The video will now be downloaded.
Videos that you have uploaded to the AV Portal are saved in your Opencast media archive. They can deleted from either the Opencast media archive (https://av-admin.uibk.ac.at) or the AV Portal.
To delete videos using AV Portal:
- Open AV Portal.
- Search for and select the video you want to delete from the 'My Videos' area.
- Click on the red Deletebutton in the Events details section.
- Confirm the deletion. The video will no longer be available on referenced pages.
To delete videos using Opencast:
- Open Opencast.
- Search for the video you want to delete.
- Tip: Videos that you have uploaded via the AV Portal are marked in Opencast with the Location: Tobira Upload. You can use the search and filter function to further reduce the results displayed.
- Under Actions, click on the red X to delete.
- Confirm the deletion. The video will no longer be available on referenced pages.
