Microsoft 365 (formerly Office 365)

Microsoft 365 for employees

Due to delays in the reorganisation of the Microsoft 365 offer at the University of Innsbruck,Microsoft 365 for private devicesistemporarily not available for employees.

The University of Innsbruck provides employees with a free installation of Microsoft 365 for business use on their private devices.

This does not include online services such as Microsoft OneDrive, Microsoft Teams, etc., but only the Microsoft Office programmes (Word, Excel, etc.).

Please note that the ZID only issues access authorisations for employees, but cannot provide any direct support beyond this. The licence for free use is valid for the duration of your employment at the University of Innsbruck.

Activation and installation of Microsoft 365 for employees

In order to use the Microsoft 365 programmes on your private device, you must activate Microsoft 365 for your university account before you can carry out the installation. Below you will find the instructions for activation and installation.

Activation in the account service for employees

If you want to use this service, activate Microsoft 365 for your account:

  1. Open https://accounts.uibk.ac.at and click on Login.
  2. Sign in with your user ID and password.
  3. Under Optional services, click on Microsoft Office 365 at Home.
  4. Click on Opt in to activate access.

Registering with Microsoft and installation

  1. Open https://m365.cloud.microsoft and click on Sign in in the top right-hand corner.
  2. Enter IhrenBenutzer namen@uibk.ac.at (for example c123456@uibk.ac.at) as the login name and click Next. You will be redirected to the university login page.
  3. Enter your university password and click on Log in. The window Verification required opens.
  4. Click on Continue.
  5. Carry out the two-factor authentication.
  6. You are now on the Microsoft 365 start page.
  7. Click Apps in the menu on the left.
  8. Click Install apps at the top right. A drop-down menu opens.
  9. Click on Microsoft 365 apps. You will be redirected to the download page.
  10. Click Install Office to download the installation file.
  11. Open the downloaded Office.Setup.exe file and follow the installation instructions. Please note that the installation may take some time.
  12. As soon as you open an installed Microsoft 365 app, you will be asked to sign in again.
  13. Click on Sign in or create an account and enter the Microsoft login name c-kennung@uibk.ac.at. You will be redirected to the university login page.
  14. Enter your university user ID and password and click Login.
  15. Carry out the two-factor authentication.
  16. You can now use the Microsoft 365 programmes on your device.

Microsoft web apps

You have online access to the Microsoft 365 programmes without having to install them on your device. The following describes how you can use the programmes online:

  1. Open https://m365.cloud.microsoft.
  2. Enter kennung@lfu.at as the login name and click on Log in. You will be redirected to the university login page.
  3. Enter your university user ID and password and click on Login.
  4. Carry out the two-factor authentication. You are now on the Microsoft 365 start page.
  5. Click on Apps in the left menu bar.
  6. Select the Microsoft 365 programme you want to work with online.

Mobile applications

To access the mobile applications, please install them from the Apple Store, Google Play or the Microsoft Store. When calling up the application, enter your e-mail address and you will be redirected to the university's login page.


Microsoft 365 for students


Please note that the University of Innsbruck does not currently offer the Microsoft Teams product and does not make it available to university members.

The University of Innsbruck offers students free access to Microsoft 365. You can use the following Microsoft 365 services for the duration of your studies:

  • Microsoft 365 for PC and Mac
    Microsoft programmes installed locally on your PC or Mac
  • Mobile Microsoft applications
    Microsoft applications for Android, iOS and Windows Phone

Please note that the ZID only issues access authorisations for students and cannot provide any further direct support (in particular for individual products and their functionality).

Installation of Microsoft 365

You can install Microsoft 365 on your private device in order to use the programmes online. The following describes how you can install Microsoft 365:

  1. Open https://m365.cloud.microsoft and click on Sign in in the top right-hand corner.

FAQs

  • Microsoft 365 Apps (Office download for students)
  • Microsoft 365 Apps (Office 365) at home for employees
  • Individual specialised applications (Power BI, Minecraft Education, Teams, ...)

Other university services (OpenOlat, Mail, etc.) are NOT affected.

  • Data that is stored in OneDrive
  • Data stored in Teams (chat data or conventional files)

Files from Word or Excel, for example, that are saved in the file manager on the device will NOT be lost. However, automatic synchronisation to OneDrive is then no longer possible.

Transfer data to Fileshare

Transfer your data to Fileshare. You can find more information about Fileshare at Service description. If you do not have enough memory, please contact zid-service@uibk.ac.at.

Saving data locally

If you have a small amount of data, you can save your data locally, e.g. on your PC.

Transferring data to a mobile carrier

Transfer your data to an external hard drive (HDD). This is only worthwhile from a data volume of 500GB

The offer is now available again for students.

The login name has the standardised format kennung@uibk.ac.at for both students and employees.

No, your e-mail address will remain the same and no changes need to be made in Outlook or other e-mail programmes.

As published at Microsoft Office 365 - University of Innsbruck, OneDrive was not an official service of the ZID until now. The ZID only issued access authorisations and was unable to provide any further direct support (in particular for individual products and their functionality). For this reason, data backups must also be carried out by the users themselves.

After a UPN change, accessing the OneDrive app in Microsoft Teams can lead to an error: 404 file not found. The following workaround is available:

  1. Create a 1:1 chat with another user.

  2. In the message box, select Actions and apps > Attach file > Upload from this device.

  3. Select a file and click Open. It is not necessary to send the file.

  4. The OneDrive link should now work again.

You can continue to use the Microsoft programmes installed locally on your end device as usual. Please do not use Onedrive as a storage location.

Delete data you no longer need

  • Delete particularly large data: In various storage systems, you can sort the displayed files in descending order of size. This ensures that the largest files are listed right at the top.
  • Delete duplicate files: Some files are duplicated or exist in outdated versions. Many storage systems offer the option of displaying duplicate files. You can also get an overview by sorting the files by name.
