In our team HR Data Management, Evolution & Analysis we oversee the implementation, optimisation and further development of IT applications within the University of Innsbruck’s HR department. Through clear processes and digital solutions, we ensure that HR services for staff operate smoothly and that high-quality data is available.

    Every year, the University of Innsbruck submits key figures to unidata, the Federal Ministry’s official information system containing current statistics on Austrian universities.

    The migration to S/4 HANA is a university-wide, perennial digitalisation project in which the Personnel Department plays a key role.

HR applications:

We manage the University of Innsbruck’s central HR systems, such as SAP HCM and the electronic personnel file system Doxis4 winCube. As key users, we provide first- and second-level support to ensure smooth operations and act as the central point of contact between the specialist departments and third-level support.

Processes & Digitalisation:

We actively drive digitalisation within the HR department and continuously refine our processes. In doing so, we identify technical and legal requirements and implement them with a particular focus on user-friendliness and efficiency.

Reporting & Analysis:

We produce reports and analyses for internal and external bodies such as the Rectorate, ministries, Statistics Austria, the Court of Auditors, tax inspectors and auditors. We not only fulfil statutory reporting obligations, e.g. in accordance with the University, Higher Education Statistics and Education Documentation Regulation (UHSBV), but also provide processed HR master data for other organisational units of the university and for the Rectorate.

Our team manages the University of Innsbruck’s central HR applications and ensures that the interfaces between the systems function reliably. Thus we lay the foundations for efficient, digital processes in HR management.

  • SAP HCM – the master data system
    SAP HCM is the central HR system and supplies all downstream applications with relevant HR data. UNI.PERS is used for contract staff, whilst PMSAP is used for civil servants. The data maintained in SAP forms the foundation for all other HR applications.

  • Accenture HR Audit and Compliance Tool (AACT)
    This tool, implemented by the Personnel Department, enables the regular verification of master data and payroll data and plays a key role in ensuring and improving data quality.

  • VIS – bespoke solutions for the University of Innsbruck
    The Administrative Information System (VIS) is operated by the Information Technology Services (ZID). In close collaboration with the ZID’s VIS group, we provide staff with a wide range of Employee Self-Service (ESS) functions.

  • Doxis4 winCube – digital personnel files and workflows
    The Doxis4 winCube document management system was implemented by the Personnel Department and has enabled a completely paperless way of working for several years now. When the system was introduced in 2016, all personnel files were digitised using barcodes. Since then, around 4,500 personnel documents have been processed directly in Doxis by the relevant staff members every month. The electronic personnel file is populated with metadata from SAP and contains all personnel documents – GDPR-compliant, audit-proof and digitally available at all times. Furthermore, Doxis supports key internal processes, such as dual-control checks and digital approval workflows.
